Senior Accounting Coordinator, Payables

Salary Range: $48,200.00 To 60,300.00, Annually

The senior accounting coordinator position supports the Finance Department by performing all duties related to Accounts Payable and vendor relations in addition to reconciliations, assisting with audit preparation, and administrative tasks. A general knowledge of accounting is required to ensure the books and records of the organization are kept properly to ensure clean audits.

TWC is a majority remote organization: for most employees, employment with TWC will not be contingent on physical presence in an office space. However, TWC does have some physical space in Washington, D.C., and the individual in this role will be expected to work in Washington DC as required.

Key Job Functions

Accounts Payables

  • Responsible for processing accounts payable vendor invoices, accruals, 1099s, and vendor relations.
  • Oversight of Accounts Payable system (currently BILL) ensuring sync to general ledger and program management as required.
  • Responsible for managing the processing of invoices through Bill.com, as well as payment for certain vendors outside of Bill.com. Ensuring invoices have proper approvals, backup, and accurate coding in accordance with TWC policies.  
  • Responsible for accurately recording accounts payable transactions into the General Ledger throughout the month.  
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
  • Reconcile the monthly credit card bill to ensure accurate reporting of expenses. Review credit card transactions no less than bi-weekly to ensure expenditures are reasonable and minimize the risk of undetected fraudulent activity. Coordinate with credit cardholders to ensure proper approvals, backup, and accurate coding of costs incurred.
  • Review and process expense reports and requests for advances in accordance with TWC expense policies and budget. 
  • Manage the company Amazon account, and process staff Amazon order requests once it has been approved by the correct personnel.
  • Managing AP mailbox and answering all internal and external inquiries from staff and vendors. Primary point of contact for resolving any discrepancies.
  • Responsible for 1099 processing and maintenance and ensuring that The Washington Center follows all federal and state regulations with 1099s, sales tax exemptions certificates and W-9s
  • Assist with vendor reporting requirements for SBA.

Other Duties

  • Reconcile certain general ledger accounts in accordance with predetermined standards on a monthly basis. Includes recording appropriate journal entries for assigned accounts. Accounts include, but not limited to, prepaids, travel advances, accounts payable, accrued expenses, and petty cash.
  • Create budget vs. actual reports and forward reports to key management staff. Take the necessary steps to adjust any discrepancies.
  • Assist with preparation of prepared by client schedules for annual audit.
  • Assist with compliance on reporting for D.C. Government and other various entities.
  • Provide training to new staff on finance policies and procedures. 
  • Assist with annual budget process as needed.
  • Manage the documents stored at storage facility and provide a list of destroy items based on retention schedule. 
  • Develop and oversee contract management system to track contact due dates and term. Service as TWC resource for timely consideration of contracts and vendor notice.

Required Education and Experience

An equivalent combination of education, training, and experience will be considered: 

  • Associate degree or equivalent in a related field required.
  • 2 years accounting experience with proficiency in spreadsheets and formulas.

Preferred Education/Qualifications and Experience

  • Bachelor’s degree in accounting.
  • Experience with Sage Intacct and Bill.com highly preferred.
