Advancement Coordinator

Salary Range: $50,000.00 to $52,000.00, Annually

The Advancement Coordinator is an essential member of The Washington Center’s Office of Advancement and Partnerships, providing critical support for the department which cultivates and raises funds from and with individuals, corporations and foundations, and in support of the organization’s goals and mission. The position demands a love for data, keen research/internet sleuthing skills, strong writing ability, the highest attention to detail, the ability to work autonomously in a fast-paced multi-function environment, a desire to work efficiently and improve systems and processes, and a passion for internal and external customer service. The position is a multi-faceted role, providing expertise in Salesforce to manage the department’s data, and moves management system. Additionally, this position conducts research and analysis of donors, alumni and prospects, and may be asked to draft select funder appeals, proposals and reports. The position also manages many of the administrative functions for the department including gift acknowledgements, data reports and meeting minutes.

TWC is a majority remote organization: for most employees, employment with TWC will not be contingent on physical presence in an office space. TWC does have some physical space in Washington, D.C., and the individual in this role would be expected to work in-person as and when the need arises.

Essential Functions

Data Entry and Management

  • Manage/oversee donor database in Salesforce including the accurate entry of all donor opportunities and gifts (manual and automated).
  • Create and ensure accurate dashboards, reports, and campaign structures in Salesforce.
  • Generate customized prospect lists/reports for annual communications campaigns, donor invites, or special projects.
  • Analyze and synthesize accumulated donor data with the goal of broadening the prospect pool, i.e., evaluating financial capacity, philanthropic tendances, giving propensity and linkages to TWC if any. 
  • Work proactively with the Finance and Financial Aid departments to ensure accuracy in donation records and scholarship balances, including assistance with reconciliations.

Outreach and Stewardship

  • Draft initial outreach and correspondence on behalf of the front-line fundraisers, executive leadership, and Board of Directors.
  • Draft content for donor communications including Scholarship Profiles, news articles, and outreach campaigns. 
  • Generate and customize donor acknowledgement letters and other correspondence to ensure timeliness of communications to donors.
  • Assist with the content creation of solicitation materials, presentations, funding proposals, and annual reports. 
  • Provide support for scholarship or donor programs and events with students/alumni, as needed. 

Donor and Alumni Research

  • Utilize iWave, Foundation Center and other donor databases to identify new prospects or opportunities for gift increases, and to conduct prospect research and wealth screens.
  • Monitor the prospect pool and provide support to the Moves Management process including identifying prospects who need to be reviewed, preparing reports and other materials for review meetings, preparing follow up materials and reports.
  • Develop prospect lists in support of various campaigns, projects and events and serves as a resource to front line fundraisers, providing information as needed.

Required Education and Experience

An equivalent combination of education, training, and experience will be considered:

  • Bachelor’s degree required
  • 1-2 years’ experience in a non-profit advancement office required
  • Experience with Salesforce or another CRM like Raiser’s Edge required

Preferred Education/Qualifications and Experience

  • Research and/or data analysis experience highly preferred

  • Ability to maintain privacy and confidentiality of constituent information.

  • Exceptional organizational skills, attention to detail, ability to identify and rectify errors.

Supervisory Responsibility

  • This position has no supervisory responsibilities.
